Privacy Policy
Effective 28 September 2026. This policy covers the GoodLifeTask apps for Android and iPhone and the website at goodlifetask.com (together, “GoodLifeTask”, “we”, “us”).
1. The short version
- We collect what GoodLifeTask needs to work: your account, the tasks and reminders you add, and — only when you use them — location, photos and voice recordings for the features that need them.
- We never store document numbers or card numbers, and we never connect to your bank.
- Photos you use as a reminder stay on your device. Document scanning happens on your device and nothing from the photo is uploaded.
- Aid Me locations and photos are encrypted and shared only with your family.
- We do not sell your personal data. The Free plan shows ads; we ask ad partners for non-personalised ads.
- You can export your data and delete your account from the app at any time.
2. What we collect
Account details. Your name, email address, a securely hashed password (or your Google, Apple or Microsoft sign-in if you choose one), language, time zone, theme and — if you add one — a profile picture.
What you add to GoodLifeTask. Tasks and reminders (title, notes, date and time, category, repeat rules), lists, and the people you share them with. This can include:
- Documents: only the name, type, issue date, expiry date and an owner label (for example “Sam’s passport”). We never ask for or keep the document number, and no image of the document is uploaded.
- Medicines: an inventory — name, quantity, expiry and owner label. GoodLifeTask does not record dosage and does not give medical advice.
- Food: items in your fridge or cupboard and their use-by dates.
- Bills and payments: the name of the payment and its due date. We never ask for card or bank account numbers.
Family features. If you create or join a family: membership, messages you send in family chat, shared tasks, and family alarms, including a voice recording if you add one to an alarm.
Aid Me. When you press Aid Me: your location while the alert is active, photos taken by your phone’s cameras during the alert, and the family members or contacts you choose to alert.
Location reminders. If you create a reminder for a place, your device checks your location against that place so it can remind you when you arrive or leave.
Glow, the assistant (web). What you type or say to Glow, so it can turn it into tasks and reminders.
Technical data. Push-notification tokens for your devices, basic device and app information, IP address and security logs (for example sign-in attempts) that keep the service safe and working.
Payments. If you pay for a plan, the app store or payment provider handles your payment details; we receive only your plan, its status and dates.
We do not use analytics or tracking tools that follow you across other apps or websites.
3. How we use it
- To run GoodLifeTask: store your tasks, send your reminders and notifications, and keep your devices in sync.
- To run family features and Aid Me: share what you choose with your family and alert them when you ask for help.
- To send account emails and messages you ask for (sign-up, password reset, reminders by email or SMS).
- Suggestions: we count how many people add the same task wording (with numbers, email addresses, phone numbers and links removed) to suggest common tasks to others. Wording is only reviewed once at least five people have used it, never with names, and you can switch this off in Settings → Privacy, which also removes your past contributions.
- To keep GoodLifeTask secure, prevent abuse and fix problems.
- To show ads on the Free plan and to manage paid plans and free trials.
- To follow the law.
Where laws such as the GDPR apply, we rely on: providing the service you asked for (contract); your consent (for example location, camera and microphone, which you can withdraw in your device settings); our legitimate interest in keeping GoodLifeTask secure and suggesting common tasks (which you can switch off); and legal obligations.
4. Phone permissions
The app asks for each permission only when you use the feature that needs it. You can say no, or change your mind later in your phone’s settings; the rest of the app keeps working.
- Location, including in the background: for Aid Me, so your family can see where you are while an alert is active even if your phone is locked, and for location-based reminders. Background location is used only while an Aid Me alert is active or for the place reminders you set.
- Camera: Aid Me photos during an alert, and scanning a document’s dates on your device.
- Microphone: recording a voice for a family alarm, and voice input.
- Contacts: to pick the people Aid Me should alert. We don’t upload your address book — only the contacts you choose.
- Photos: to choose a profile picture or a reminder photo. Reminder photos stay on your device.
- Notifications, alarms and full-screen alerts: to deliver reminders and family alarms on time.
- Face ID / fingerprint: to unlock the app. This happens on your device; we never receive biometric data.
5. Who we share it with
We do not sell your personal data. We share it only:
- With people you choose — your family members, or the people you share a task with.
- With service providers that run GoodLifeTask for us, under contracts that limit them to that purpose: DigitalOcean (hosting and database), Resend (email), Twilio (SMS, where used), Google Firebase Cloud Messaging and Apple Push Notification service (notifications), Anthropic (processes what you ask Glow), Google AdMob (ads on the Free plan), and Google Play, the Apple App Store, Stripe and RevenueCat (payments and subscriptions).
- With sign-in providers (Google, Apple, Microsoft) if you choose to sign in with them.
- When the law requires it, or to protect the safety of people or the service.
- If GoodLifeTask is sold or merged, in which case this policy continues to protect your data.
Aid Me alerts go only to your family members or the contacts you picked. We do not contact emergency services on your behalf; in an emergency, call your local emergency number.
6. Advertising
The Free plan shows ads from Google AdMob. We ask AdMob for non-personalised ads and send it no personal information from your account — no name, email, tasks or location. AdMob may still use device identifiers and your IP address to show, limit and measure ads and to prevent fraud; see Google’s policy at policies.google.com/technologies/ads. Where required (for example in the EEA and the UK), the app asks for your consent before ads are shown. Paid plans have no ads.
7. Families and shared data
Anything you put in a family space — shared tasks, family chat, shared food and medicine lists, family alarms and Aid Me alerts — can be seen by the other members of that family. Personal tasks stay private unless you share them. If you leave a family, you lose access to its shared content and it loses access to yours.
8. Security
- All connections are encrypted (HTTPS/TLS).
- Passwords and sign-in tokens are stored only as secure hashes.
- Aid Me locations and photos are encrypted at rest and opened only through short-lived, member-checked links.
- Access to production systems is limited to the people who need it.
No system is perfectly secure. If a breach affects your personal data, we will tell you and the authorities as the law requires.
9. Keeping and deleting your data
We keep your data while your account is open. You can delete individual items at any time.
Deleting your account: in the app, go to Settings → Account → Delete Account. Your account is locked straight away, you are signed out on every device, notifications stop, and your email address is removed from the account. We keep a minimal record of the deletion for security and legal reasons. To have all remaining content erased as well, email privacy@goodlifetask.com from the address you signed up with; we complete erasure requests within 30 days.
Security logs are kept for a limited time and then removed. Information we must keep by law (for example payment records) is kept for as long as the law requires.
10. Your choices and rights
- See and download your data: Settings → Account → Export Data gives you a copy as a file.
- Correct it: edit your profile and items in the app.
- Delete it: as described above.
- Withdraw permissions: turn off location, camera, microphone, contacts or notifications in your phone’s settings.
- Object, restrict or complain: depending on where you live (for example under the GDPR, UK GDPR or California law), you may have further rights. Email us to use them. You can also complain to your local data protection authority.
We will not treat you differently for using your privacy rights.
11. Children
GoodLifeTask is not directed at children under 13, and children under 13 (or the minimum age in your country, such as 16 in parts of Europe) should not create their own account. Younger family members should use GoodLifeTask only with a parent or guardian who manages the family. If you believe a child has given us personal data without permission, contact us and we will delete it.
12. Where your data is stored
Our servers are in the United States. If you use GoodLifeTask from elsewhere, your data is transferred there and protected as described in this policy, using safeguards such as standard contractual clauses where the law requires them.
13. Changes to this policy
If we change this policy we will update the date at the top, and if the change is significant we will tell you in the app or by email before it takes effect.
